This policy explains what personal data Agenix collects, why we collect it, who we share it with, how long we keep it and what you can ask us to do with it. It covers this website, the discovery call booking and voice agent, and the messaging channels we reply on.

Who we are

Agenix is the trading name of Agenix AI LLC, a company registered in the United Arab Emirates. We build and run AI systems for businesses, and we are the controller of the personal data described below. For anything in this policy, including a request about your data, contact [email protected].

Where we build and run a system for a client, that client is the controller of the data inside their system and we act as their processor under a separate agreement. This policy covers our own website and our own enquiries, not the systems we operate on a client's behalf.

What we collect

  • What you send us. Your name, email address, phone number, company and whatever you write in a form, an application or a message.
  • Discovery calls. If you book a call we receive the booking details through our scheduling provider. If you speak to our AI discovery agent, the call is recorded and transcribed, and the agent tells you so at the start. You can decline and speak to a person instead.
  • Messages. If you reply to us by email, WhatsApp or SMS, we keep that conversation so we can answer it and so we have a record of what was agreed.
  • Usage data. Standard analytics about pages visited, approximate location, device and referring source, plus server logs such as IP address and timestamps.
  • What we do not collect. We do not ask for special category data, and we ask you not to send health, financial account or identity document details through this website.

Why we use it, and our legal basis

  • To answer an enquiry, run a discovery call and quote for work. Basis: steps taken at your request before entering a contract.
  • To deliver and support work you have engaged us for. Basis: performance of a contract.
  • To follow up on an enquiry you started, by email, WhatsApp or SMS, until you book or tell us to stop. Basis: our legitimate interest in responding to an enquiry, and your consent where a channel requires it.
  • To keep the site working, secure and measured. Basis: legitimate interest, and consent for analytics cookies where that is required.
  • To meet tax, accounting and other legal duties. Basis: legal obligation.

We do not sell personal data, and we do not share it for other organisations' own marketing.

Who processes it for us

We use a small set of service providers who process data on our instructions, under contract, for these purposes:

  • Website hosting and infrastructure
  • Website analytics (Google Analytics)
  • Call scheduling and calendars
  • Our CRM and workflow automation, which we self host
  • Email, WhatsApp and SMS delivery, including the Meta WhatsApp Business Platform
  • Speech to text, language model and text to speech providers that power the AI discovery agent
  • Email newsletter delivery, if you subscribe
  • Payments and invoicing, if you become a client

These providers operate in the United Kingdom, the European Economic Area, the United Arab Emirates and the United States, so your data may be transferred outside the country you are in. Where that happens we rely on the provider's standard contractual clauses or an equivalent safeguard. We will name the current providers in writing if you ask.

Messaging and consent

If you give us your phone number and agree to be contacted, we may reply on WhatsApp or by SMS about the enquiry you made. Reply STOP on that channel at any time and we will stop messaging you there. Where we say a call may be made, the call is only placed if you agreed to it, within local business hours, and the caller states at the start that it is an AI assistant and that the call is recorded.

Cookies and analytics

We use cookies that are necessary for the site to work, and Google Analytics to understand which pages are useful. You can block cookies in your browser; the site will still work. We do not run advertising pixels on this site today. If that changes, this page will say so before it happens.

How long we keep it

  • Enquiries and the records of our conversations: up to 24 months after our last contact, unless you ask us to delete them sooner.
  • Call recordings and transcripts: up to 12 months, unless they form part of work we are delivering for you.
  • Client project records: for the length of the engagement and then as long as tax and accounting law requires.
  • Analytics: as configured in Google Analytics, in aggregate rather than by name.

Your rights

Depending on where you live, you can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or send it to someone else. You can withdraw consent at any time, which does not affect what we did before you withdrew it. You can also complain to your data protection regulator, which in the United Arab Emirates is the UAE Data Office and in the United Kingdom is the Information Commissioner's Office.

To exercise any of these, email [email protected]. We answer within 30 days and we do not charge for it.

Security, children and changes

We keep systems patched, limit who can reach client data, and encrypt data in transit. No system is perfect, so if something goes wrong that affects you we will tell you and the relevant regulator where the law requires it.

This site is for business use and is not directed at children under 18, and we do not knowingly collect their data.
